Scheduling dashboards for automated delivery

The Report Scheduler tab within the Reportsarrow-up-right section allows administrators and leadership to automate the delivery of business intelligence. Instead of manually checking dashboards, you can configure the system to email specific insights to key stakeholders at a frequency that matches your operational needs.

How to Schedule a New Report

Creating a recurring report delivery is a simple three-step process located at the top of the REPORT SCHEDULERarrow-up-right page:

  1. Select Dashboard: Choose from your available BI Dashboards (e.g., Demographics Overview, HR, Financial, or EVV).

  2. Select Recipients: Choose the staff members or administrators who need to receive the automated update.

  3. Select Frequency: Determine how often the report should be sent. Options typically include:

    • Daily: For high-priority monitoring like EVV compliance.

    • Weekly: For operational updates like Timesheet summaries.

    • Monthly: For high-level financial and demographic growth reviews.

  4. Finalize: Click the SCHEDULE button to activate the automated delivery.

Managing Scheduled Reports

Once scheduled, all active reports are listed in the management table below the configuration settings. This table provides full transparency into what is being sent and to whom.

The name of the individual receiving the report.

Audit data showing who set up the schedule and when.

Key Use Cases

Automating your reports ensures that critical data never goes unnoticed. Common scheduling strategies include:

  • Daily Compliance: Schedule the EVV Dashboard to be sent to the Dispatch Manager every morning at 8:00 AM to catch any missed visits from the previous day.

  • Weekly Financial Review: Send the Financial Dashboard to the Agency Owner every Monday to review "Total Receivables" and "Realized Revenue" trends.

  • Monthly Growth Tracking: Schedule the Demographics Dashboard for the first of the month to present growth metrics (New vs. Leaving Customers) to stakeholders.

  • To save time, you can use the Report Scheduler to have specific data sets (like the Claim Collection Report) emailed to your billing team every Monday morning.

Pro Tip: If you notice a scheduled report is no longer needed, use the Delete icon in the Actions column to keep your scheduler clean and prevent "inbox fatigue" for your team.
