Report Overview

The Time Management Report, accessible via the Time Managementarrow-up-right tab on the Reports page, provides a detailed chronological log of all staff activities. This report is the primary tool for verifying EVVarrow-up-right (Electronic Visit Verification) data, calculating billable hours, and reviewing visit notes.

1. Report Filters & Generation

To generate a specific data set, use the controls at the top of the Time Managementarrow-up-right page:

  • Date Range Picker: Select the start and end dates (e.g., 03/01/2026 – 03/20/2026) to isolate a specific pay period or billing cycle.

  • Search Button: Refreshes the grid with data from the selected dates.

  • Custom Report Button: Allows you to jump to the custom report builder if the standard columns do not meet your needs.

  • Export Options: Use the CSV or PDF buttons to download the report for payroll processing or external audits.

  • Favorite (Star Icon): Click the star to save this report to your Favorites sidebar.

2. Column Definitions

The Time Managementarrow-up-right grid includes 11 specific columns to provide a complete picture of each task:

Column Name

Description

Date Entered

The date the staff member officially logged the entry into the system.

Project

The specific case or service authorization the task is linked to (e.g., Project for Johnny Delta).

Task Name

The specific title of the activity (e.g., Second Shift, MT Task, or Phone Call).

Type

The category of service provided (e.g., Physical Therapy, CBS Visit, Visit, Habilitation).

Activity Date

The actual calendar day the work was performed (may differ from the Date Entered).

Start Time

The exact time the staff member clocked in or started the task.

End Time

The exact time the staff member clocked out or finished the task.

Hours

The total duration of the task calculated in decimals (e.g., 1.00 for 1 hour, 0.13 for 8 mins).

Comments

Brief text entries provided by the employee during the task log.

Employee Name

The full name of the staff member who performed the work.

Notes

Additional administrative or clinical notes attached to the specific visit record.

3. Grid Control Icons (Top Right)

Use these interactive tools to manipulate how the data is displayed:

  • ![columns_icon] Columns: Hide non-essential fields (like "Notes" or "Comments") to focus strictly on Hours and Employee Names.

  • ![filters_icon] Filters: Isolate specific data, such as showing only Type = "Home Visit" or a specific Employee Name.

  • ![density_icon] Density: Choose "Compact" to view more of the 1902 recordsarrow-up-right on a single screen.

  • ![export_icon] Export: Quickly download the filtered view into a spreadsheet.

  • ![save_icon] Save View: Save your preferred column arrangement and filters for future use.

Data Export Actions (Top Right)

On the Time Management Reportsarrow-up-right page, situated above the data grid, you will find these two essential buttons:

  • CSV Button: Instantly downloads the currently filtered data into a Comma Separated Values file. This is the preferred format for importing into payroll software or performing advanced calculations in Excel.

  • PDF Button: Generates a clean, print-ready document. This is typically used for official record-keeping, attaching to clinical files, or providing documentation during an audit.

4. Operational Best Practices

  • Payroll Accuracy: Sort the report by Employee Name to quickly total the Hours column for a specific pay period.

  • Compliance Checks: Monitor the Type column to ensure that services requiring GPS/EVV (like Home Visits) have corresponding start and end times.

  • Audit Trail: If a claim is rejected for "Invalid Time," use the Task ID (accessible via the Columns tool) to cross-reference the original Timesheetarrow-up-right entry.

  • Before hitting the CSV button, use the Filters icon to select your specific pay period date range. This ensures your export contains only the relevant hours for that cycle, saving you from manual cleanup later.
