Customize Fieldworker for your agency

Software settings and configuration refer to the adjustable options within a software program that allow users to customize its behavior, appearance, and functionality to suit their specific needs, often accessed through a "settings" menu, where users can modify parameters like language, display preferences, security levels, and more, essentially tailoring the software to their desired operation.

The Fieldworker platform allows several ways to configure the software and hence manage, control, and customize the software for various users.

Settings

To configure the Fieldworker platform, access the Settings page by clicking the cogwheel icon in the top-right corner. The exact options available to configure the functionality depend on the role of the employee.

At the highest level, the application exposes settings in the following categories.

Settings - General

The general section in the Settings page is exposed to all users. Depending on the role, some sections may be limited to only admin or manager users. The Settings page allows users to manage their profile, employment details, and communication preferences. It is divided into several sub-tabs (General, Subscription, Agency, Billing, etc.), with the General tab serving as the primary profile management area.

1. Personal Information

This section contains your core identity and contact details, and allows you to maintain and manage user-specific data. Any user can manage their own data, managers can manage information for all their employees, and an admin can manage all the users' data. You can update these by clicking the Pencil Icon in the top right corner of the card.

  • Name: Your legal First and Last name.

  • Contact Details: Your registered Email and Phone number.

  • Address: Your primary residence or mailing address.

  • Sensitive Data: View your Date of Birth, Gender, and Social Security Number (masked for security).

  • Timezone: Your current operating timezone (e.g., Eastern), which ensures all task timestamps are accurate.

2. Employment Information

This read-only section (unless managed by an Admin) displays, and lets you manage and edit employment-related attributes of the current user, and professional standing within the agency:

  • Role & Status: Your Employee Type (e.g., Admin), Status (Active), and assigned Supervisor.

  • Payroll Details: Your Compensation Type (e.g., Hourly), Rate, and Join Date.

  • Credentials: Professional License Number, State Registration ID, and Type.

  • Leave Balances: Tracked Vacation and Personal Days.

3. Employee Task Type

This interactive section allows you to define which activities you are qualified for or usually perform. If your agency is using the Fieldworker platform to manage time being spent by your employees, this section lets you manage what tasks an employee is allowed to book her time for. Only the tasks selected here are displayed in the drop-down when booking time.

  • Active Types: Displays your currently selected categories (e.g., Home Visit, Phone call, IS Visit, etc.).

  • Selection Menu: Check the boxes for all relevant tasks (e.g., Checklist, TeleMedicine, Intake) and click SAVE to update your profile. This helps the Schedulerarrow-up-right match you with appropriate client needs.

4. Secure Communication

Manage how the system notifies you about workflow and timesheet updates. If your agency has subscribed to secure communication, this section lets you set your choices to subscribe to what messages you want to receive, and their frequency.

  • Messaging for Tasks: Toggle alerts for specific events, such as:

    • MT Submission/Approval/Rejection: Notifications regarding timesheet status changes.

    • Task Management: Alerts when a task is assigned or when start/end times are approaching.

5. Employee Relationships

A transparent view of your organizational connections:

  • Billing Manager for: Lists the employees whose financial records or billable hours you oversee.

  • Guardian for: Lists specific clients or individuals under your direct care/guardianship.

  • Manager for: Lists the team members who report directly to you (e.g., Erin Perez, Ethan Hayes).

Note: Some fields in the Employment Information section may be locked. If you need to update your pay rate or supervisor, please contact your agency's HR administrator.
